Terms and Conditions of Stay and Online Payment

By booking at Podere Castellare, either online or through direct channels, the guest fully accepts these Terms and Conditions of stay and payment.
1. Ownership and Management
Podere Castellare is a brand owned by Podere Castellare Società Agricola a responsabilità limitata, with its registered office at Via Case Sparse 12, 50060 Pelago (FI).
Any reference to “Podere Castellare” refers to the aforementioned company, owner and operator of the accommodation facility.
2. Reservations and Guarantee
A valid credit card is required to guarantee the reservation.
Payment terms vary depending on the selected rate:
Refundable Rate:
By choosing the refundable rate, the reservation may be canceled free of charge up to 7 days before the arrival date. After this deadline, on the 6th day prior to arrival, the total amount of the stay will be automatically charged to the credit card provided at the time of booking.
Any cancellations made after this period or no-shows will incur a penalty equal to 100% of the total stay.
Non-Refundable Rate:
By choosing the non-refundable rate, the full amount of the stay will be charged at the time of booking. No changes or cancellations with refund will be accepted. In the event of cancellation, modification, or no-show, 100% of the total amount will be retained.
The property reserves the right to pre-authorize the credit card up to the total amount of the reservation.
3. Online Payments and Security
The official Podere Castellare website allows secure online payments via credit card, through the integration of the 3D Secure Code system, which authenticates the cardholder during the transaction to ensure maximum protection.
The payment service is provided by Passepartout S.p.A., Podere Castellare’s certified technology partner and payment gateway provider, compliant with PCI DSS standards and PSD2 European regulations.
All sensitive data transmitted (such as card number, name, and expiry date) are encrypted using SSL (Secure Socket Layer) technology, ensuring that information cannot be intercepted by third parties.
Podere Castellare does not store or process payment data directly; they are handled exclusively by Passepartout’s secure system.
All transactions are made in euros (€), and prices include VAT unless otherwise stated.
Guests will receive an automatic email confirmation with a summary of the reservation and payment.
In the event of suspected fraud or unauthorized transactions, the hotel will cooperate with the competent authorities and the guest’s bank for verification and refund, in compliance with current regulations.
4. Cancellation Policy
Cancellation terms depend on the rate selected at the time of booking:
Refundable Rate:
Cancellations are free of charge up to 7 days before arrival. From the 6th day before arrival, the total amount of the stay will be charged, and in case of cancellation or no-show, no refund will be granted.
Cancellation requests must be sent via email to info@poderecastellare.it.
Non-Refundable Rate:
For the non-refundable rate, the total amount is charged immediately upon booking and is non-refundable in case of cancellation, modification, or no-show.
5. Check-in and Check-out
Check-in: from 4:00 PM (early check-in available upon request and subject to availability, with a supplement).
Check-out: by 11:00 AM (late check-out possible with a supplement).
Failure to vacate the room by the designated time may result in an additional night being charged.
6. Occupancy and Identification
Guests must be at least 18 years old and present a valid ID (identity card, passport, or driver’s license).
Only registered guests are allowed to access rooms and common areas.
Access to external visitors is allowed only with prior authorization from reception.
Management reserves the right to deny accommodation or remove guests who do not comply with internal regulations, cause disturbance, or damage property.

All online payments are processed through the Passepartout Payment Gateway, compliant with international security standards.
8. Tourist Tax
In accordance with the regulations of the Municipality of Pelago, a tourist tax of €1.00 per person per night is applied and must be paid at check-out.
Children under 12 years old and categories exempted by local law are not subject to this tax.
9. Children and Baby Cots
Children up to 3 years old stay free of charge if sharing a bed with their parents.
A baby cot is available upon request at no extra charge.
Children aged 3 and above are considered adults for pricing purposes.
10. Pets
Pets are welcome at Podere Castellare. No prior notice or extra charge is required.
Our four-legged guests are allowed in all common areas of the property except for the swimming pool area, where a dedicated and equipped space is available to ensure comfort and relaxation for both pets and their owners.
11. Parking
A free, unattended parking area is available for guests.
Management is not responsible for theft, damage, or loss of items left inside vehicles.
12. Luggage Storage
Free luggage storage is available at the reception.
Podere Castellare is not responsible for belongings left for more than 24 hours.
13. Lost and Found / Valuables
The property is not responsible for money, jewelry, or valuables left unattended in rooms.
Found items will be kept for 30 days and returned upon request, with any shipping costs borne by the owner.
14. No-Smoking Policy
Podere Castellare is a non-smoking property.
Smoking is permitted only in outdoor areas.
Violation of the indoor smoking ban entails an administrative fine pursuant to Law No. 3/2003.
15. Internet and Technological Services
Free Wi-Fi is available throughout the property.
Podere Castellare is not responsible for temporary service interruptions or device incompatibilities.
16. Liability
Podere Castellare and its staff shall not be held liable for:

Loss, theft, or damage to guests’ personal belongings;

Service malfunctions due to force majeure;

Errors, omissions, or interruptions in third-party payment services (e.g., Passepartout S.p.A.).
In any case, the property’s liability shall not exceed the total amount of the booked stay.
17. Intellectual Property
The logo, the name “Podere Castellare,” the website, and all published materials (online or offline) are the exclusive property of Podere Castellare Società Agricola a r.l.
Any unauthorized use will be prosecuted according to law.
18. Governing Law and Jurisdiction
These Terms and Conditions are governed by Italian law.
Any dispute shall fall under the exclusive jurisdiction of the Court of Florence, except where mandatory consumer protection laws provide otherwise.
19. Acceptance
By making a reservation via website, phone, or email, the guest declares that they have read, understood, and accepted these Terms and Conditions, including the section on online payment security, and the Privacy Policy pursuant to EU Regulation 679/2016 (GDPR).
